Vendor Terms & Conditions
Thank you for your interest in participating in the Holden Lake Farm Country Market. Our goal is to create a welcoming, community-focused shopping experience that highlights local artisans, growers, makers, food producers, and small businesses.
By submitting a vendor application, you acknowledge that you have read, understood, and agree to the following Terms & Conditions.
1. Vendor Selection
Submitting an application does not guarantee acceptance.
Holden Lake Farm carefully curates each market to provide visitors with a diverse selection of products and to minimize duplication between vendors.
Preference may be given to local businesses, handmade products, farm-related goods, and businesses that complement the overall market experience.
Successful applicants will receive a confirmation email with payment instructions.
2. Market Dates & Hours
Weekend One
- Thursday, November 19 – Sunday, November 22, 2026
Weekend Two
- Thursday, November 26 – Sunday, November 29, 2026
Market Hours
11:00 AM – 4:00 PM daily
Vendors may participate for one day, one weekend, or all eight market days, subject to availability.
3. Booth Fees
- $50 per day
- $100 for all eight market days
- Registered non-profit organizations and youth entrepreneurs may qualify for complimentary booth space.
Payment instructions will be provided upon acceptance.
Booth fees are non-refundable once payment has been received unless the event is cancelled by Holden Lake Farm.
4. Booth Space
Each vendor will receive approximately a 10 ft × 10 ft indoor booth space.
Vendors are responsible for providing their own:
- Tables
- Chairs
- Table coverings
- Shelving or display fixtures
- Signage
- Decorations
- Extension cords (if approved for electrical use)
Booth assignments are determined solely by Holden Lake Farm and may change if operational needs require.
5. Set-Up & Tear-Down
Vendor set-up begins daily at 9:30 AM.
All booths must be completely set up before the market opens at 11:00 AM.
Tear-down may begin only after 4:00 PM, unless prior approval has been granted by the Market Manager.
Vehicles must be moved to designated vendor parking before the market opens.
6. Vendor Responsibilities
Vendors are responsible for:
- Their own sales and payment processing
- Collecting and remitting applicable taxes
- Maintaining a clean and professional booth
- Keeping aisles and emergency exits clear
- Conducting themselves respectfully toward customers, volunteers, staff, and fellow vendors
Holden Lake Farm reserves the right to remove vendors displaying inappropriate behaviour or violating these Terms & Conditions.
7. Approved Products
Only products approved during the application process may be displayed or sold.
The Market Manager reserves the right to request removal of products that:
- Were not disclosed during the application process
- Are counterfeit or infringe on copyrights or trademarks
- Are offensive or inappropriate for a family-friendly event
- Compete directly with products sold by Holden Lake Farm & Garden without prior approval
8. Food Vendors
Food vendors are responsible for complying with all applicable regulations, including but not limited to:
- Island Health requirements
- FoodSafe certification (where applicable)
- Required permits and licences
- Provincial and municipal regulations
Food vendors are solely responsible for ensuring they operate legally and safely.
9. Electricity
General greenhouse lighting will be provided.
Electrical power should not be assumed to be available.
Limited access may be available for approved food vendors or specialty equipment and may be subject to an additional fee.
Generators are not permitted inside the greenhouse.
10. Insurance & Liability
All vendors participate at their own risk.
Vendors are responsible for their own merchandise, equipment, displays, and personal belongings.
Holden Lake Farm assumes no responsibility for theft, loss, damage, injury, or accidents occurring before, during, or after the event.
Vendor liability insurance is strongly recommended and may be required depending on the nature of your business. Vendors leaving merchandise or displays overnight do so entirely at their own risk.
11. Overnight Storage
Vendors may leave displays in place between market days.
Cash, electronics, valuables, and irreplaceable merchandise should be removed each evening.
Holden Lake Farm is not responsible for overnight security or any resulting losses.
12. Weather
This is an indoor event and will proceed rain or shine unless otherwise communicated by Holden Lake Farm.
13. Safety
For the safety of everyone attending:
- Smoking and vaping are prohibited inside all buildings and greenhouses.
- Open flames, candles, propane heaters, or cooking equipment require prior written approval.
- Fire exits and walkways must remain unobstructed at all times.
- Vendors must comply with all emergency instructions issued by event staff.
14. Parking
Complimentary vendor parking will be available.
Loading and unloading areas must remain clear once set-up has been completed.
15. Pets
Only service animals or pre-approved vendor animals are permitted within vendor areas.
Pets must remain under control and on leash at all times.
16. Photography & Marketing
Holden Lake Farm may photograph or film the event for promotional purposes.
By participating, vendors grant permission for photographs or video containing their booth, products, business name, and likeness to be used in future advertising, social media, print, and promotional materials without compensation.
17. Event Promotion
Holden Lake Farm will actively promote the Country Market through various marketing channels, including social media, email newsletters, our website, local advertising, and community partnerships.
Vendors are encouraged to help promote the event through their own marketing channels. Sharing is caring!
18. Event Changes
Holden Lake Farm reserves the right to make changes to:
- Booth assignments
- Vendor layout
- Event hours
- Market operations
- Parking arrangements
- Safety procedures
whenever necessary to ensure the safe and successful operation of the event.
19. Market Cancellation
Should circumstances beyond our control require cancellation of the event (including severe weather, emergencies, government orders, or other unforeseen events), Holden Lake Farm reserves the right to cancel or reschedule the market.
Any refunds will be determined at the sole discretion of Holden Lake Farm.
20. Agreement
By submitting a vendor application, you acknowledge that:
- You have read and understood these Terms & Conditions.
- You agree to abide by all event rules and instructions from the Market Manager.
- You accept responsibility for your booth, products, staff, and visitors.
- You release Holden Lake Farm, its owners, staff, volunteers, and affiliates from liability arising from your participation in the event.
